Frequently asked questions

Short answers about how Occasionly works. For setup steps, see the documentation.

Getting started

What does Occasionly do?

Occasionly lets your customers save the birthdays, anniversaries and other dates of the people they buy for. A few days before each date, they get a reminder email from your store with a link back to your shop, so they reorder in time.

How do my customers save a date?

You add a short widget to your store or share its link. In your dashboard, open Settings, copy your widget's embed code or link, and paste it onto any page of your store. Customers enter who the date is for, the occasion and the day, and they get a confirmation email straight away.

Which plans are there?

Starter is free and covers reminders for up to 50 customers. Pro is $29 AUD a month, covers reminders for up to 500 customers, lets you edit your emails and removes the Occasionly branding from the widget. Business is $99 AUD a month, has no customer limit, includes everything in Pro and lets you send from your own domain.

What happens when I reach my plan's customer limit?

Your widget keeps working. Every new customer is still saved and still gets their confirmation email, so nobody is turned away on your storefront. Reminders go to your first 50 customers on Starter or your first 500 on Pro, counted by sign-up date. Customers beyond that are saved and held, and they start getting reminders as soon as there is room. We email you once when this first happens, and your dashboard shows how many customers are being held.

Which customers count towards my limit?

Only customers who can actually receive your emails. Someone who has unsubscribed, or whose address has bounced or been reported as spam, does not use up a place. If one of your earlier customers unsubscribes, the next held customer moves into their place.

Can a customer miss a reminder if I am over the limit?

Yes. A held customer is saved, but their reminders do not send until there is room for them. If a date comes up while they are held, no reminder goes out for that date. Customers are not told they are held. Upgrading makes room straight away, and reminders still ahead of their send date go out on the normal schedule. Reminders whose send date has already passed are not sent late.

What happens to my customers if I downgrade my plan?

Nothing is deleted. Your customers stay saved. If you have more customers than the new plan includes, reminders go to your oldest customers up to the new limit, and the rest are held until you upgrade again.

Your emails

Who do the emails come from?

Emails show your store name as the sender, and on every plan you can choose the sender name yourself in Settings. On Starter and Pro they are sent from reminders@occasionly.app. On Business, once you have added a few DNS records for your own domain and it is verified, they are sent from an address on your domain, such as hello@yourstore.com.

Where do replies go?

Replies go to the reply-to address you set in Settings, which is available on every plan. If you leave it empty, replies go to the address the email was sent from. On Starter and Pro that address belongs to Occasionly, not to your store, so you would never see those replies. We recommend setting a reply-to address.

Can I change what the emails say?

On Pro and Business you can edit the subject and message of each email, the button label, and a promo line that appears in the reminders. You can use details such as the customer's first name, the person's name, the occasion and the date. Starter uses our default wording. On every plan you can preview the emails and send yourself a test.

Can I include a discount code?

Yes. On Pro and Business you can add a standing offer or code to the promo line, and every customer sees the same one in their reminders. Unique codes for each customer are not available yet.

Can I see how much money the reminders make?

For Shopify stores, yes. You add a small tracking snippet to Shopify, and Occasionly shows how many orders were placed within 30 days after a customer clicked one of your reminders, with the estimated sales for those orders. It is an estimate: it shows orders that followed a click, not proof that the reminder caused the order. The snippet collects no customer details.

When are reminders sent?

Reminders go out automatically once a day, in the morning Sydney time. You choose how many days ahead of each date the first and second reminders are sent, and you can turn the second reminder off.

Will my emails reach the inbox?

We set up email authentication (SPF, DKIM and DMARC) so inbox providers can confirm the email really came from you. In our own tests with a custom sending domain, emails passed all three checks and landed in the inbox at Gmail and iCloud. No sender can guarantee inbox placement, but authentication, a visible unsubscribe link and automatic handling of bounces are the things that matter most, and we do all three.

What happens when someone unsubscribes?

Every email has an unsubscribe link, and mail apps that support one-click unsubscribe show their own button. Once someone unsubscribes, they are not emailed again until they sign up again themselves.

Can my customers change or remove the dates they saved?

Yes. Every confirmation email and every reminder email has a link near the bottom that reads "You can change or remove your saved dates here." It opens a private page for that customer and your store, without signing in. They can change a saved date (the person's name, the occasion, the day and the month), add a date, remove a date, or remove all of their saved dates. The page shows your store's name, and its logo if it has one, and the customer's email address partly hidden, and it works whether or not they have unsubscribed. Removing a date deletes it from our database. Removing all of them keeps the customer's name and email address on file with its unsubscribe record, and a customer who wants their details deleted entirely can ask you or hello@occasionly.app.

What about bounces and spam complaints?

If an address permanently bounces, or a customer marks an email as spam, we stop emailing that address automatically so your sender reputation stays healthy.

Limits and integrations

Can I send SMS reminders?

Not yet. Occasionly sends email only.

Does it work with Klaviyo, Omnisend or Mailchimp?

Not directly yet. You cannot download or export your saved dates, and Occasionly sends the reminder emails for you. If you need this, tell us at hello@occasionly.app, because it helps us decide what to build next.
